Who can use this feature?
Account Owners only
Custom authorisation rules let you require one or more approvals before a payment is processed. Only the Account Owner can configure these rules.
Setting up your authorisation rules
- 1 Go to Settings > Payments.
- 2 Select Supplier payments or Payroll payments.
- 3 Choose whether All payments or only Payments above a limit should be subject to authorisation rules.
- 4 Select which users or user groups are required to authorise in the first step.
One authoriser is enough per step
If you select multiple authorisers in a step, only one of them needs to approve before the payment moves to the next step.
Adding more authorisation steps
If you need payments to go through more than one level of approval:
- 5 Select Require another authorisation.
- 6 Select which users or user groups are required to authorise in the next step. Repeat for each additional step.
- 7 When all steps are configured, select Save.
Setting up both Supplier and Payroll payments?
If your rules are the same for both, set up one rule type first. When you open the other group, you'll have the option to Apply the settings from the first group — no need to repeat everything from scratch.
How do I see who needs to authorise a payment?
Once a payment has been submitted, you can check its authorisation status from the Review & authorise page.
- 1 Click on the payment to expand its details.
- 2 Select View details (below the Authorised by field).
- 3 A pop-up will show all required authorisation steps and their current status.
